Administrative Virtual Assistant (Wound Care DME Specialist)

Part-Time

The Administrative Virtual Assistant will be responsible for supporting wound care providers by coordinating Durable Medical Equipment (DME) orders and managing wound care supply documentation. This includes working closely with clinical teams, verifying insurance coverage, and ensuring compliance with billing and documentation standards. The ideal candidate brings a strong clinical background, hands-on experience in wound care support, and thrives in a fast-paced, fully remote environment serving mobile wound care teams.

Key Responsibilities:

  • Coordinate and manage wound care DME supply orders for multiple providers and patients
  • Review and ensure proper documentation of medical necessity for wound care supplies
  • Complete Insurance Verification Requests (IVRs) to confirm patient coverage for wound care products
  • Accurately interpret and apply billing modifiers related to wound care and DME claims
  • Ensure all required elements are present in order forms and provider progress notes
  • Collaborate with clinical team members to confirm product selection aligns with wound type and treatment plan
  • Track DME shipments and follow up with vendors, patients, and providers to ensure timely delivery
  • Maintain accurate logs, patient records, and updates in platforms/systems and shared tracking tools
  • Keep up to date on LCD’s, coverage guidelines, payer-specific requirements, and documentation standards
  • Provide additional clinical and administrative support within scope (RN)

Qualifications:

  • RN license is preferred
  • Minimum 2 years of experience in wound care and DME coordination
  • In-depth understanding of wound care products and their appropriate clinical application
  • Experience with Insurance Verification Requests (IVRs) and navigating payer portals
  • Working knowledge of billing codes, HCPCS, modifiers, and DME documentation compliance
  • Familiarity with order intake workflows and ensuring accurate and complete documentation
  • Strong communication, organizational, and time management skills
  • Comfortable using EMRs, Slack, Google Workspace, and task tracking systems
  • Experience supporting outpatient/mobile wound care practices or MSOs.
  • Familiarity with EMRs, inventory software.
  • Working knowledge of Medicare, Medicaid, and commercial payer policies for wound care DME.
  • Knowledge of DME and supply billing.
